Renfrewshire Citizens Advice Bureau seeks a diligent and organised Debt Administrator to join our team. As a Debt Administrator, you will play a crucial role in supporting our Debt Team by managing administrative tasks efficiently and ensuring smooth communication with clients, creditors, and stakeholders.
Responsibilities:
- Arranging and managing appointments for clients, handling general calls to the Debt Team, and providing reassurance to clients over the phone.
- Monitoring and managing incoming calls for Debt Advisers, including distressed clients, creditors, and general office enquiries.
- Handling referrals from Renfrewshire Council and other sources, creating and maintaining client records on our case management system.
- Organising quarterly Debt Team meetings, creating agendas, and taking and circulating minutes.
- Managing emails received from clients and referring/booking them an appointment for the relevant member of staff/project.
- Creating initial client records and inputting information into our system, including searching for creditors on databases and recording enquiries.
- Keeping up to date with ongoing updates to our internal systems.
- Updating a monthly report and maintaining lists/databases to support the work of the Debt Team.
- Creating and maintaining Debt forms, requesting necessary stationery, and ensuring handouts (debt pack) are up to date.
- Providing assistance and cover for other administrative tasks within the Bureau when needed.
- Updating our database with new client information and maintaining calling lists every week.
- Downloading and distributing SLAB (Scottish Legal Aid Board) returns quarterly, ensuring completion within set deadlines.
- Update our day sheet spreadsheet with information from advisers on a monthly/quarterly basis and upload to SLAB cloud within deadlines.
Person specification:
- Proven experience in administrative roles, preferably in a similar environment.
- Strong organisational skills with the ability to multitask and prioritise tasks effectively.
- Excellent communication skills, both verbal and written.
- Proficiency in using IT systems such as email and Microsoft products.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
- Knowledge of debt management systems or a willingness to learn.
